Creating a User

One of the first configuration actions to take when setting up an account for the first time is creating a user. A user profile holds the following mandatory fields:

• Login Name

• Account

• First Name

• Last Name

• Role

• Email Address

Note: A user can only log in to Ooyala Flex if their user profile is enabled. Disabling the user profile is a good way of temporarily withholding access.

To create a new user follow these steps:

1) On the Toolbar, click the New option.

2) From the drop down, select the User option.

3) Assign a login: The login is your login name.

Note: The following characters are not allowed in a login: "<", ">", "/", "\", '#', '&', '=', '?', '+', `'`, `"`, '%'.

4) Assign an Account: The account that this user belongs to.

5) Assign a Role: The role field defines the role that the user has been assigned. Permissions are assigned to roles, so the role that the user has, will determine what they can see and do in Ooyala Flex.

6) Assign a Variant (if applicable): A variant is a sub-type of an object defined by a user.

7) Assign a Metadata Definition (if applicable): This defines the metadata schema that this user uses within Ooyala Flex to capture additional custom data about this user object.

8) Assign a first name and second name.

9) Assign an Email Address: The email address is mandatory and is used by Ooyala Flex for the purpose of notification.

10) Assign a Phone Number: This phone number can be used to contact the user and it's also the number that automated Ooyala Flex SMS notifications will be sent to.

11) Set Notifications: This defines the level of event notification that the user will receive (if their phone number or email has been setup correctly). There are three levels of notification for both email and SMS: Info, Warning and Error.

12) Assign a Country: Defines the user's location by country. This is used to work out time zones and calculate times properly.

13) Assign a Timezone: Defines the local time zone that the user resides in and overrides the default time zone allocated to a country.

14) Assign an External Reference: This field provides a way of mapping a user in Ooyala Flex to an external ID or string that is used in a wider organisation.


• Ensure that the timezone and country is set up correctly for the user that you are creating. This is important for time stamping when actions have taken place. If the timezone or country field is left blank, it will set itself to GMT -1.

• Make sure you think about what notifications you want to receive when assigning notification levels. By selecting info level, the user will receive notifications on all state changes that the user is associated with. The most sensible option is to select warning and error levels.

15) Click Save.

16) Click Enable.
